The functionality of archiving templates is ideal for situations where we wish to remove certain templates from our active list, without losing the information they contain.
This option allows for maintaining order and clarity in our list of templates, ensuring that only the most relevant templates are visible, while preserving the others for future reference or to be retrieved if necessary.
How to Archive a Template? #
- First, to archive a template, you need to go to the Templates list. You can do this by clicking on the ‘Templates’ tab.
- Then, select the template you wish to archive and click on the ‘Archive Template’ button, which is marked with a document icon.
Next, a screen will be displayed with the following available options:
- Archive Associated Checklists and Action Plans: Now, when archiving a template, the user has the option to also archive all checklists and action plans associated with that template. This selection ensures that both the template and related items are preserved in an ‘archived’ state, allowing for their easy retrieval in the future.
- Do Not Archive Associated Checklists and Action Plans: If the user decides not to use this option, only the template will be archived. The associated checklists and action plans will maintain their current state and remain accessible.
Once the template has been archived, it will no longer appear in the checklist listing, remaining out of sight but preserved in the system.
How to Restore an Archived Template? #
- To retrieve a previously archived template, first go to the checklist list and click on the ‘Archived Only’ button to access the templates that have been archived.
- Once the list of archived checklists appears, select the template you wish to restore and click on the ‘Unarchive’ button.
After restoring the template, it will reappear in the regular template listing.
